Organizational Policies
The National Association of Marine Laboratories (NAML) and its three regional organizations are committed to respecting and protecting your privacy. We have structured our websites so that, in general, you can visit us on the Web without identifying yourself or revealing any personal information.
This Privacy Policy sets forth the practices of NAML and its regional organizations regarding the collection, use, and disclosure of information that you may provide through this site. Please read this entire Privacy Policy before using this site or submitting information to NAML through this site.
By using this site and whenever you submit information through this site to NAML, you agree with the terms of NAML’s Privacy Policy written below.
Data Collection
NAML only collects personally identifiable data such as your name, address, telephone number, or email address when you voluntarily submit it to NAML. This information may be used by personnel of NAML as a means to contact you to obtain more information, to improve this site, or to provide you with information that you have requested or that NAML believes may be of interest to you. Data the NAML collects will not be transferred to a third party outside of NAML without your prior consent, but it may be used within NAML or by a company acting as an agent of NAML for processing and mailing purposes. NAML may also use this information for performing marketing studies or for other commercial purposes for which it may receive compensation.
As part of the order process, if we collect credit/debit card information, your information will be used to fill your order, but we will never share your personal payment information with third parties.
While NAML makes every reasonable effort to protect the information collected through its websites, please be aware that there is always some risk involved when submitting data over the Internet. We cannot guarantee that our website is 100 percent safe from illegal tampering or “hacking.” Any data transmitted over the Internet may be at risk; however, once it is received at NAML, it has the same protection that NAML extends to its own confidential information.
We track the total number of visitors to our website, the number of visitors to each page of the website, and the domain names of our visitors’ Internet service providers. No personally identifiable information is gathered in this process.
Updating Your Information
If at any time you wish to stop receiving emails or other communications from us, or if you have submitted personally identifiable information through our website and would like to have that information deleted from our records, please notify us at secretariat@naml.org. You may also request access to personal data about you that NAML holds and you may have the opportunity to request a correction or amendment to your personal data.
Links to Third-Party Sites
As a convenience to our visitors, our sites may contain links to other (non-NAML) sites that we believe may offer useful information. The Privacy Policy presented here does not apply to those sites. You should contact these sites directly for information on their privacy policies, confidentiality agreements, and data collection/distribution procedures.
Children’s Policy
Our website is not intended or designed to attract children under the age of 18. We do not collect personal information from any person we actually know is under the age of 18.
Cookies
Some of our websites use a technology called “non-persistent cookies,” which is a small data file that a server gives to your browser when you access a website in order to let you access the pages you request and to track the pages visited. Using non-persistent cookies to track page visits helps us analyze our site usage more accurately. In cases in which non-persistent cookies are used, we will not collect personally identifiable information except with your explicit permission. Please note that linked non-NAML sites may also use cookies. NAML cannot control the use of cookies by these non-NAML sites. We also want you to know that when you link from a NAML website to another website, that site may have the ability to recognize that you have come from an NAML site. If you do not want any other websites to know that you have been on this website, we recommend that you do not use the links provided in our site.
Security
The security of users’ personal information is important to us. We use commercially reasonable standards to protect the personal information submitted to us, both during transmission and once we receive it. No method of transmission over the Internet, or method of electronic storage, is 100% secure, however. When users enter sensitive information (such as a credit card number) on our order forms, we encrypt the transmission of that information using secure socket layer technology (SSL). Electronic communication (for example: email, online chat, or instant messaging) that users may send NAML may not be secure unless NAML advises users in advance that security measures will be in place prior to transmitting the information. Users should not send confidential information such as financial information, social security numbers or passwords to NAML through unsecured electronic communication.
Privacy Policy Updates
Any changes to National Association of Marine Laboratories Privacy Policy will be posted on this page. This Privacy Policy was last updated on 13 September 2022.
Conflict of interest policy for Members of the Board of Directors of the National Association of Marine Laboratories (NAML) and Members of the Boards of Directors of the regional organizations of NAML.
The National Association of Marine Laboratories and its three regional organizations (the Northeastern Association of Marine and Great Lakes Laboratories, the Southern Association of Marine Laboratories, and the Western Association of Marine Laboratories) shall be referred to collectively as the “Association” in this policy document. The “Board” shall be defined as the officers and other members of the Board of Directors of the National Association of Marine Laboratories (NAML) and the officers and other members of the Boards of Directors of the three regional organizations of NAML.
The members of the Board expect their actions to fulfill the purposes of the Association as set forth in the Articles of Organization and the Bylaws of NAML and the Articles of Organization and the Bylaws of the respective regional organizations. Board members shall recuse themselves from positions, discussions, or votes where they have, appear to have, or believe that they have a conflict of interest that would prevent them from acting in the best interests of the Association and the safeguarding of its programmatic and corporate soundness. Furthermore, should a Board member have a personal financial interest, or a financial interest in any agency, company, or entity that receives or stands to receive financial or other material benefits from performing services for the Association, that Board member shall disclose that interest to his or her fellow Board members.
Procedures:
- The President and the President-Elect of NAML will jointly administer this Conflict of Interest Policy for the Association; each may, at his or her discretion, refer issues or matters to the full Board of NAML or an appropriate committee thereof.
- A Board member who becomes aware of a potential or perceived conflict of interest involving himself or herself should report the situation promptly by filing a written Disclosure Statement with both the President and the President-Elect of NAML.
- A Board member who becomes aware of a potential or perceived conflict of interest involving another Board member or employee should report the situation promptly by filing a written Disclosure Statement with both the President and the President-Elect of NAML.
- This Conflict of Interest Policy is to be communicated to all members of the Board each calendar year. New Board members are to be provided a copy of this Policy prior to the date their service to the Association begins.
- Serving on the Board constitutes agreement to adhere to this Conflict of Interest Policy.
- Any disclosure of conflict of interest or potential conflict requires that the President and the President-Elect of NAML review the situation together and document a suggested resolution that is in the best interests of the Association.
- Resolutions may be appealed to the full Board of NAML. All appeals must be made in writing. Board rulings will be decided by a simple majority vote.
- A copy of all documents relating to disclosures, resolutions, and appeals will be retained by the NAML Secretariat.
- All Disclosure Statements are to be retained for four years. All disclosures and related actions involving grants and contracts must be maintained at least three years beyond the termination of the related grant or contracts or resolution of any action with the funding organization, whichever is longer.
- It is a violation of policy of the Association to retaliate against an individual who files a statement raising a potential or perceived conflict of interest. It also is a violation for a Board member knowingly to file a false statement. If such actions should occur, they should be brought immediately to the attention of both the President and the President-Elect of NAML.
Approved by the NAML Board of Directors (12 Dec 2022).
